Position Overview
The Account Coordinator is the engine that keeps our client relationships running smoothly. Reporting to an account executive, you will support day-to-day project coordination, creative development and administrative support (organization, meeting planning, product ordering, etc.). This is an ideal entry point for a motivated, HIGHLY detail-oriented graduate who wants to build a career in account management within an advertising agency.
Key Responsibilities
Client Support & Communication
• Assist account managers in managing relationships with clients.
• Prepare and distribute meeting agendas, meeting recaps, status updates, and Trello updates.
• Respond to routine client inquiries promptly and professionally, escalating complex issues as appropriate.
• Participate in client calls and in-person meetings, taking detailed notes and tracking action items.
• Support communications with external agency partners.
Project & Campaign Coordination
• Coordinate project timelines across creative, digital, media, and production teams to ensure on-time delivery.
• Maintain and update project management tools, trafficking sheets, and production schedules.
• Assist in preparation of creative briefs, campaign presentations, and competitive analysis reports.
• Manage collateral projects with the guidance of the account executive.
• Proofread documents to ensure high quality work is delivered to clients.
• Monitor campaign performance data and compile reports for client review.
Administrative & Agency Operations
• Book and manage travel for agency personnel.
• Maintain organized client files, asset libraries, and approval documentation.
• Support the team in preparing new business emails, pitch materials and proposals.
• Support the development of agency social media calendars and assist with posting.
• Assist with monitoring industry trends, competitor campaigns, and tourism market insights.
Qualifications
Required
• Bachelor's degree in marketing, advertising, communications or journalism.
• Strong written and verbal communication skills, with exceptional attention to detail.
• Ability to multitask.
• Highly organized with ability to manage multiple projects and deadlines simultaneously.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
• Disciplined and motivated to work independently in a remote work environment.
• Genuine enthusiasm for travel, tourism, and destination marketing.
• A collaborative team player with a positive, proactive attitude.
• Available to travel to client meetings locally and out-of-town.
Preferred
• Internship experience at an advertising agency, tourism organization, or hospitality company.
• Familiarity with project management platforms such as Trello or Basecamp.
• Exposure to digital marketing tools, including social media platforms, email platforms (ex. MailChimp), Google Analytics and AI.

Location
This job is remote, enabling the team member to work from home. Travel is required for in-person client meetings and in-person Rebel Fox team meetings.
